Job Title: Office Secretary

Status: Part-Time Employee
Accountability: Reports to the Executive Director and Program Director
Job Summary: Secretary will provide clerical support and assistance with reception duties, participant file maintenance, documentation of attendance and services, management of office supplies and organization, participant and event related communications, instructor clerical support, and other assigned duties as required.
Duties and Responsibilities:
Reception duties including answering telephone calls and process calls appropriately.
Welcome visitors to corporate office.
Provide basic information to visitors and callers.
Assist in opening and/or closing the office at the beginning and/or ending of the workday.
Filing participant related and other documents appropriately and as needed.
Follow all Creative Identity policies and procedures, including but not limited to:
Documentation of services and correspondences
Communications with Regional Center of Orange County (RCOC), parents/caregivers
Service billing documentation
Special Incident Reports
Maintenance of participant attendance records
Coordinating staff requests for time off or for supplies
Provide comprehensive secretarial and clerical support to staff and management, including maintaining related inventory.
Maintain a safe and clean working area environment for clients and staff, and maintain office supplies.
Maintain COVID-19 safety and disinfecting protocol as needed.
Preparation of notices, letters, promotion, reports, etc. as assigned.
Notify parents and caregivers of program closures and changes in program scheduling as needed, giving appropriate lead time for parents/caregivers to adjust.
Perform other duties as requested and/or assigned, especially with regards to serving the participants.
Overseeing proper storage and organization of supplies, equipment, tools, client files, and related office materials. This also includes cleaning of office areas.
Represent Creative Identity, its program, participants, and staff in a professional and promoting manner: at the program events, in community contact with other businesses or persons, and in any interactions with parents/caregivers, client caseworkers or representatives.
Dependable and on-time attendance and timely notification (the day before, if possible) of absences due to illness.
Inter-Relationships:
Secretary will maintain appropriate direct contact with program participants and Creative Identity staff, as well as some contact with participant family/caregivers/support circle members during program hours and special events.
Skills and Educational Requirements:
Some knowledge of basic Human Resources is highly desired
Proficiency with Google Workspace apps, including Meet, Drive, Docs, Sheets, and Forms, is highly desired.
Proficiency with Facebook Business, Instagram, MailChimp, and Squarespace is highly desired.
Effective written and verbal communication.
Ability to perform all job duties as assigned.
Must be proficient with Microsoft Word and Excel.
Ability to prioritize, organize, and multi-task.
Ability to maintain consistent and effective performance of all clerical, secretarial, and reception duties.
Ability to lift 25lbs.
Must be diplomatic, tactful, discreet, flexible, resourceful, dependable, well-organized, friendly, emotionally mature, and professional.
Must meet general employment requirements including but limited to:
CPR/First Aid training
Complete COVID-19 vaccination
TB testing (within 2 years)
Live Scan background check
Hold a High School diploma (higher education is preferred)
Working Conditions:
Secretary must have reliable vehicle transportation to and from the office, program site, and to program concerts, community events. Occasional weekends and overtime will be required. Secretary must be able to meet a flexible schedule and be open to all assignments.
